Minutes: The minutes were approved as presented. 1st J.Bennett; 2nd B.Miller.
Treasurer’s report (Bland): The mortgage with United Bank is $1,957,522 at 6.25% interest. Catering for March was up. There is zero income for the marina and $9500 in repairs/maintenance. The pool has collected swim team dues totally $4,170. The Quarterdeck had $81 in sales. $3000 in initiation fees were collected as well as $6150 in dues. Thank you notes were received from the Chandler family and Duke University for the memorial contribution sent by LYC.
House (A. Hasting): The House Committee will now be chaired by Jane Wyatt, Joan Reader and Peg Stewart. The tri-chairs will be handling the social events while Adrienne Hasting will handle the management part of the House committee.
Motion: To accept the appointment of Jane Wyatt, Joan Reader and Peg Stewart as tri-chairs of the House Committee. 1st Petterson, 2nd Orton; approved.
Sunday, May 6 Wine Tasting Event, 2-5pm, $10.00 per person includes wine tasting and hors d’oeuvres.
Sunday, May 13 Mother’s Day Brunch, 10-2; $13.95 adults, $7.95 children

There will NOT be a brunch after the Board meeting on May 20.
March banquet sales were up 512% over March, 2006.
The Pub Nights are still going great and will be continued. Serving Friday night dinners during March was not successful and will be reconsidered before next year.
The cost of lobsters at the beginning of the season will be more expensive than usual and MUST be pre-ordered.
Marina (Valeria): There was a great turnout for Marina workday (36 volunteers). All items were completed and a few will wait for warmer weather. Thank you to Gale Smith for a generous donation for marina events and Peggy Kernehan for cookies and lunch pickup.

Membership (B. Miller): Deposits of $1250 have been made since the last meeting. The Waiting List stands at 169. The current membership roles include 580 Active members, 64 Senior, 7 members on Leave of Absence and 12 Life members for a Total membership of 663.
There are 51 new memberships this year and in an effort to integrate all of these new members into Club activities, 2 new activities are planned. “New Members Cocktail Hour” (cash bar) will be held on Thursday, May 3 immediately prior to the first “Land & Sea” dinner for this year. On Sunday, June 10, there will be tables set aside for our new members at the brunch following the Board meeting. On May 26, the Annual New Member Orientation & Reception will be held starting at 3:00 pm. All officers, Board members and committee chairs are asked to attend. Following the orientation, the formal opening of the Club for the season with annual flag raising ceremony and the Memorial Day buffet will be held.
The Membership Committee met on March 31 and made 4 recommendations to the Board.
- Senior membership: The committee recommends that no changes be made to the existing practices. The committee defers to the Finance Committee any recommendations for a change in Senior or Active member dues.
- Initiation fee: The committee recommends that the initiation fee be raised from $600 to $1000. After discussion, it was decided that the Finance committee will review this recommendation and return to the board with their recommendation.
- Dining minimums: The committee recommends that all members pay the Dining minimum and receive a swipe card (includes all new members as well as all Senior members) beginning with fiscal year 2007/2008. After discussion, this recommendation was passed to the Finance committee for consideration.
- Legacy membership: Legacy members should be required to pay the initiation fee. The legacy members currently do not have to go on the waiting list; pay no initiation fee; and purchase stock of par. This recommendation was also sent to the Finance committee.
Motion: Send all 4 Membership recommendations to the Finance committee for review. 1st Bennett, 2nd Orton; approved.
Pool (L. Carter): The Pool committee will have all pool rules posted on website, newsletter, quick notes and posted at the pool. LYC is a “swim at your own risk” facility as lifeguards are not on duty at all times especially at the beginning and end of the season. New rule for unattended children: All children under 12 must be accompanied by an adult. All children 12-15 not accompanied by an adult must pass a swimming test.
The pool project should be completed by April 30 with the pavers completed by April 20.
Ed Wyatt added that Shelly and jack have completed a great deal of work including the lights with caps and some plumbing.
There will be additional irrigation for the planters and landscaping.
In January, 2007, the pool was emptied for the pipe work and bubbles were discovered in the plaster. Jud Bennett and Laurie Carter met with the rep from Penn Pools who plastered the pool last year. They discussed the “hollow” areas. The area of bubbled plaster was not immediately known to be as extensive as it is now. A rep from Aqua Pools inspected the pool and reported that he felt that the blistering problem is a result of improper preparation before plastering. The plaster is delaminating and needs to be recoated before replastering. The surface is flaking off tremendously but the racing lanes are adhering fine. The plaster cannot be patched as is and should be properly plastered (entire pool). Patching could not be guaranteed.
There were 2 choices given: Re-plaster up to the racing lanes or re-plaster the entire pool.
Plastering to the racing lanes creates seams. The re-plastering MUST be done or the pool cannot be opened.
N. Carter: When will it be finished?
Aqua Pool rep (Dan): We need to start immediately but we cannot guarantee a Memorial Day opening. We should be able to open but I cannot guarantee it.
Edelen: Does process require specific maintenance (chemical, pool filled, etc)?
Dan: Guidelines need to be followed.
L.Carter: We followed all directives given by Aqua Pools.
Bland: For filling the pool, there is a 3” meter coming into the pool. We can have a plumber hook up the pipe and fill the pool in the recommended time.
Edelen: Is there a delay in using the pool after filling?
Dan: Yes, approximately 1-2 weeks.
B. Warnell: Will there be a scheduling delay due to materials?
Dan: Since the problem was discovered on Friday, I have not talked to the vendor but will on Monday.
L.Carter: The contract will be a set fee.
Motion: Make a capital expenditure of $45,000 for the pool re-plastering. 1st Bennett; 2nd Edelen; approved.
A letter has been prepared by Bill Purnell, Commodore, to be sent to Penn Pools concerning the guarantee on the plaster and possible actions.
Sailing: No report
Grounds (Robinson): 14 volunteers were present for clean-up day and all jobs were completed. Extra mulch is being stored until work can be done around the pool area. Another day will be needed for large container planting and mulching/planting around the pool area. The date will be announced.
Youth (Orton): There is a possible new chair and will be announced at the next meeting. Dana Orton, present Youth chair, did not know anything about an Easter Egg hunt and asked who announced it. Apologies go out to any member who made plans to attend.
Maintenance (Wyatt): The representative from LEE Carpets has agreed to replace the dining room carpeting with the same pattern. The carpet has been ordered and will be installed starting 11/5/07. The installation will take 5 working days.
A leaking valve was replaced on the geo-thermal system in the maintenance office. The semi-annual inspection will be in May.
Regular cleaning has begun for the season.
Finance (N. Carter): The United Bank has adjusted the mortgage to $15,500 per month. The committee is reviewing mortgage proposals from 3 institutions. The proposals are good for 2 weeks. The committee will meet within the 2 weeks to decide. All proposed payments are within the budgeted amounts.
Burgee: No report.
Old Business:
Long Range Committee chair was not present.
The job descriptions for the committee chairs that were written in 2004 will be emailed to the specific chairs for updating. Please update and return to Peggy Kernehan, secretary.
New Business:
Wyatt: All contracts should be kept on LYC premises. The committee chair can make a copy of the contract.
Motion: All LYC contracts must be kept on LYC premises. There needs to be both a scanned computer copy and a hard copy. 1st Wyatt, 2nd Bennett; approved.
Wyatt: All outstanding contracts need to be brought to LYC by all chairs.
B.Miller: They need to be stored in a locked, fire retardant cabinet.
B.Purnell: If the contracts are backed up by a computer copy, the computer file could be kept off premises.
Bland: Employee contracts should be on premises.
Membership:
D. Valeria: All pool rules need to be posted as the marina rules are posted. What will be the condition of the roadway and parking after the pool construction?
L.Carter: Everything will be back to what it was before construction, minus the shrubs.
R. Robinson: They will re-grade and clean up. We will need more stones.
Wyatt: The employee parking area needs more stones now.
A.Didden: Could the pool committee check into an extended warranty on the plaster? Also the warranty given by Aqua Pools is really a warranty by whom?
L. Carter: Aqua guarantees labor/materials for the 1 year but I will ask about an extended warranty.
Bland: An insurance company may offer an extended warranty as it is a risk.
M.Miller: I gave the Egg Hunt information. I got the information from one of the many sheets that I review for the newsletter. I am sorry for printing incorrect information.
B.Purnell: You do a great job (M.Miller) and anyone could make a mistake with all the information that you handle. It is not a problem.
B.Miller: The swimming pool issues show that sometimes trying to save money causes additional costs in the future. We need to keep this in mind with future projects.
L. Carter: (After calling the Aqua Pool rep) The guarantee is with Aqua Pool Company with 1 year labor and 2 year materials. Aqua Pool rep will talk to subcontractor on Monday, April 16.
